This is a very busy and challenging role, there is the requirement to instigate, document and in some cases to develop office policy, procedures and systems, so you must have experience in setting up this framework and the energy to follow through on this project. There is also a very busy CEO who requires top executive and secretarial support, with diary management, correspondence, meetings and a busy schedule to maintain. You must also be able to prepare correspondence and liaise with various stakeholders on day to day matters as well as more important issues. You must be able to work on your own as well as be part of a team, you must be discrete and ideally you will have worked in a senior role undertaking similar duties to this role. -

The duties include, however are not restricted to
Providing high level administrative support to the Branch Mangers and the Branches, including maintenance of electronic diaries and organisation of meetings
Coordinating administrative activities across Groups and liaise with other officers as required
Undertaking travel and accommodation bookings for the Branches and maintain records in accordance with departmental policies and procedures
The successful applicant will have the following attributes
Excellent organisation and administrative skills
Experience in Microsoft Office Suite, email internet and intranet and diary management
High level interpersonal, oral and written communication skills
Ability to work as a member of a team or individually
Ability to handle a varying workload and meet deadlines
A sound knowledge of electronic record keeping ie. TRIM would be highly regarded

As part of a small team the successful applicant will work in the Admin Unit and be involved in the Branch’s financial management processes including:

reconcile travel payments to SAP
registering invoices for payment on a tracker system;
processing payments and checking supporting documentation; and
liaising within the Department and with external agencies and vendors on financial issues.
The selection criteria are as follows:
working knowledge of easySAP Financials and SAPGui Financials
working knowledge of spreadsheet packages preferably Excel & Project
good written and oral communications skills
ability to prioritise work within tight timeframes
work independently and as part of a team to manage specific processes

Providing procedural and policy advice and support to managers and staff regarding personnel and payroll matters.
Overseeing the technical day to day administration of conditions of service through the Aurion HRIMS to ensure salary related payments and personnel records are maintained accurately.
Providing data and analysis for HR reports to meet management and operational requirements.
Undertaking or assisting in the administration of the operation, use and maintenance and further development of the Aurion HRIMS.
Providing input to improving procedures to deliver more efficient payroll services. Assisting with HR policy development and implementation.
Providing advice on Occupational Health & Safety and Workers' Compensation Management.
